By making a booking, confirming an estimate, or allowing our technicians to begin work, the customer agrees to these terms. For clarity, the words we, us, and our refer to South Harrow Carpet Cleaners, and the words you and your refer to the person or business requesting the service.

These terms are written to support a fair and transparent service relationship. They apply to all standard carpet cleaning appointments, specialist stain treatment, end-of-tenancy carpet cleaning, and any other cleaning work that has been expressly accepted by us. They should be read alongside any written quotation, booking confirmation, or pre-service notes provided before attendance.

Booking process and service confirmation sectionIf any part of these terms is unclear, you should raise the issue before booking. Once a cleaning appointment has been scheduled and/or work has started, the booking is deemed to be governed by the version of the terms in force at that time. Any variation must be agreed in writing by both parties.

Booking Process

Bookings for carpet cleaning services are accepted subject to availability, property access, and the suitability of the requested work. An enquiry does not create a binding contract until we confirm the appointment. We may request details such as the type of flooring, the approximate size of the area, the level of soiling, access arrangements, parking considerations, and any known material sensitivities. This information helps us provide an accurate estimate and determine the equipment and products required.

When an estimate is given, it is usually based on the information you provide. If the actual condition of the carpets, rugs, upholstery, or surrounding area differs materially from the description supplied at booking, we may revise the price, adjust the method used, or decline to carry out part of the work if we consider it unsafe, impractical, or unsuitable. Any such revision will be explained before work continues wherever reasonably possible.

A booking is only secured once the required deposit, if any, has been received and the appointment has been confirmed by us. Customer responsibilities before carpet cleaning appointmentYou are responsible for ensuring that the property is reasonably ready for cleaning at the agreed time. This includes removing fragile items, personal belongings, and valuables from the work area, as well as ensuring that any pets or children are kept safely away from the equipment and cleaning products. We do not accept liability for loss or damage to items that were left in the cleaning area contrary to this expectation, unless such loss or damage was caused by our negligence.

If the service requires electricity, water, parking, lift access, or other facilities, you must ensure that these are available or disclose any restrictions beforehand. Failure to provide suitable access may affect the outcome of the work or cause postponement. In such cases, any additional costs reasonably incurred because of the failed attendance or delay may be charged to you, provided they are fair and proportionate.

We aim to arrive within the agreed time window, but appointment times are estimates and not guaranteed to the minute. Delays may occur due to traffic, previous jobs running over, weather, or circumstances outside our control. Where this happens, we will make reasonable efforts to keep you informed and to attend as soon as practicable.

Payments and Pricing

All prices are quoted in pounds sterling unless stated otherwise. Any quotation is based on the information available at the time and may be adjusted if the actual job differs significantly from the original description. Prices may be shown as fixed prices, from-prices, or hourly rates depending on the nature of the work. The final charge will reflect the service delivered, any agreed additions, and any extra time or materials reasonably required because of conditions found on site.

Payment is due immediately on completion of the service unless we have agreed a different arrangement in writing. We accept the payment methods stated at the time of booking or invoicing. Where payment is made by bank transfer, cleared funds must be received within the stated payment period. We may suspend further services, withhold future bookings, or pursue recovery action if a payment is overdue.

South Harrow Carpet Cleaners may charge additional sums where specialist treatments are requested, where stain removal requires repeated applications, where particularly heavy soiling is present, or where furniture needs to be moved beyond normal light items. We will not carry out materially different work without your agreement where practical. If you choose to cancel additional services after work has begun, you may still be charged for time spent, materials used, and any service already provided.

Cancellations, Rescheduling, and Access Issues

You may cancel or reschedule a booking by giving notice as early as possible. For standard appointments, cancellations made within a reasonable period before the scheduled start time may be accepted without charge. However, if you cancel late, fail to provide access, or do not attend a pre-arranged appointment, we may charge a cancellation fee to cover lost time and administrative costs, particularly where a specific time slot has been reserved.

If we need to cancel or rearrange an appointment because of staff illness, vehicle failure, equipment problems, or other operational issues, we will seek to offer a new appointment at the earliest reasonable opportunity. Our liability in such circumstances is limited to rescheduling or refunding any deposit paid for the affected booking, unless the law requires otherwise. We are not responsible for any indirect losses caused by a postponed appointment, such as missed tenancy deadlines, business interruption, or third-party charges.

If access is not available at the appointed time, or if the property is not ready for the work to proceed safely, we may treat the booking as cancelled by you and apply an appropriate charge. This includes situations where the wrong address is provided, keys are unavailable, a gate or entrance remains locked, or someone with authority to allow entry is absent. Where possible, we may offer to wait for a limited time, but this is not guaranteed.

Liability and service limitation terms sectionWe may decline or stop work if we consider that the task presents a health and safety risk, if the surface appears unsuitable for the requested treatment, if previous damage makes further cleaning unsafe, or if the property conditions prevent us from working effectively. In such cases, any charge already incurred for attendance, assessment, or partial completion may still apply. We will act reasonably and explain our decision where circumstances permit.

We use professional cleaning methods and products selected according to the fabric type, level of soiling, and likely compatibility of the material. Nevertheless, some carpets and soft furnishings may react unpredictably because of age, prior wear, staining, dye instability, underlay issues, or previous treatment by others. You accept that the outcome of a cleaning process can never be guaranteed to remove every mark or restore an item to a like-new condition.

Where a customer asks us to proceed despite being informed of a risk, we may request written confirmation that the work should continue. This is especially relevant where a textile has already shown sensitivity, where colour loss is possible, or where an older floor covering is fragile. Proceeding in such circumstances does not remove your statutory rights, but it does acknowledge the inherent limitations of the service.

Liability and Limitations

We will carry out our services with reasonable care and skill, in accordance with applicable consumer law and professional standards. If we cause proven damage through negligence, we will normally seek to repair the item, re-clean the affected area, or offer a fair financial remedy, depending on what is reasonable in the circumstances. Our liability will not extend to damage caused by pre-existing defects, hidden faults, normal wear and tear, deterioration, or items not suitable for cleaning.

We are not liable for consequential losses, loss of profit, loss of business, emotional distress, or indirect costs arising from the service, except where liability cannot lawfully be excluded. Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other matter that cannot be excluded under UK law. Your statutory rights remain unaffected.

We are also not responsible for damage caused by items that were not removed from the work area, by unstable furniture that collapses when moved, by pre-existing stains that reappear due to wicking, or by moisture-related issues resulting from inadequate ventilation or pre-existing damp. We may advise that carpets or upholstery require additional drying time, but we cannot guarantee rapid drying in all environments. You should avoid use of the cleaned area until it is sufficiently dry.

Waste, Disposal, and Environmental Compliance

Waste disposal and governing law terms sectionAny waste created during the provision of the service, including used cloths, filters, packaging, protective materials, extracted residues, and minor amounts of wastewater, will be managed in a responsible manner. We will take reasonable steps to dispose of commercial waste in line with applicable waste regulations and environmental requirements. Where specialist disposal is needed because of contamination, hazardous residues, or unusual site conditions, additional charges may apply if previously agreed or if reasonably necessary.

You are responsible for disclosing any hazardous substances, heavy contamination, bodily fluids, mould, pest infestation, or biohazard risks before the appointment. We may refuse to handle materials that require specialist licensing, protective measures, or disposal routes beyond the scope of a standard cleaning service. If such conditions are discovered only after we arrive, we may suspend work immediately and charge for the time already spent.

We aim to use products and processes that are appropriate for the environment and safe for normal domestic use when instructions are followed. However, you should keep children, pets, and vulnerable individuals away from treated areas until the surfaces are dry and it is safe to return. You must also follow any aftercare advice we give in relation to ventilation, drying, and ongoing maintenance.

Customer Responsibilities

You agree to provide accurate information when booking and to notify us promptly of any changes that may affect the job. This includes changes to access, parking, floor type, stain history, occupancy, or the presence of fragile fittings. If you instruct us to work in a particular way contrary to our recommendation, you accept responsibility for the result to the extent permitted by law.

Where furniture must be moved, you should remove items of value from drawers, shelves, and surfaces before the appointment. We may move light furniture as part of the service, but we are not required to move heavy, fixed, or delicate items unless specifically agreed. Any such movement is carried out at your risk unless damage is caused by our negligence. We may decline to move certain items if doing so is unsafe or would risk property damage.

It is your responsibility to inspect the completed work promptly and raise any concern as soon as reasonably possible. If you wait an unreasonable time before reporting an issue, we may be unable to verify what happened or offer a remedy. This does not affect any rights you may have under consumer law, but prompt notification helps us investigate fairly and efficiently.

General Provisions and Governing Law

These terms represent the entire agreement between you and South Harrow Carpet Cleaners for the services in question, unless additional written terms are agreed. If any clause is found to be invalid or unenforceable, the remaining clauses will continue in full force. A failure by us to enforce a term on one occasion does not mean that the term is waived for future bookings.

We may update these terms from time to time to reflect legal, operational, or service changes. Any update will apply to future bookings rather than completed work, unless a change in law requires otherwise. The version in force at the time of your confirmed booking will normally govern that appointment, unless replaced by a later written agreement.

Any dispute or claim arising out of or in connection with these terms, the booking process, payment, cancellation, liability, waste handling, or the service itself will be governed by and interpreted in accordance with the law of England and Wales. The courts of England and Wales will have exclusive jurisdiction, except where consumer law provides otherwise.
